How to import data?

Data import in a nutshell


Instead of (or in addition to) manually answering questionnaires, import your data. Use a spreadsheet template, then import it into Carbo once it has been completed. Many types of data can be imported, either directly into the platform or via your Carbo coach.


What data can I import?


The list of data that you can import directly from the platform:

  • Customer deliveries, with addresses or distances
  • Waste
  • Supplier deliveries, with addresses or distances
  • Electronic equipment
  • Manufactured products with the weight of each raw material
  • Raw materials (without distinction by product)
  • Own vehicles
  • Business travel
  • Websites
  • Industrial equipment
  • SaaS software used
  • Services provided
  • Offices

How does it work?


1. Go to the import page

In the menu, select the carbon footprint currently being collected and click Measure. Click Access on the Data Import item on the current collection page.

2. Download a template

Select the type of data from the drop-down menu. Once the spreadsheet is open in Google Sheets, click on File and then Download as xlsx. Alternatively, create a copy to continue working online using Google Drive.

3. Read the rules to follow and fill in the file

Use your own names. For raw materials, equipment, types of waste and means of transport, there is no need to use the exact terms from the questionnaires. Your terms will automatically be matched with those in our emission factors. For example, ‘alu’ will be matched with aluminium and ‘muscade’ with nutmeg. 

4. Import your file

Select the data type again before selecting the file to import. 

Specify whether you want to overwrite the existing data or add it to your import.

  • If you have already entered all your air travel manually and want to import a table with your train travel, you can combine the two collection methods.
  • If you have started to enter your customer deliveries manually and then switch to bulk data import, overwrite the data.

If your file does not comply with the template or contains errors, it will not be accepted. Correct any errors and import your file again.

 

5. Matching your data with emission factors

This is the most technical part of the process, and it is largely automated.

Our artificial intelligence matches your imported data with our emission factors. A confidence level is established for each piece of data. If certain matches have an insufficient confidence level, they will need to be matched manually.

💡 Since September 2025, you have been able to do this directly in Carbo for most imports (Products, Materials, Electronic Equipment, Customer/Supplier Deliveries, with or without distance, Vehicles, Waste).*

If your import contains data to be matched, this will be indicated on the platform. Click on the arrow to start the matching process.

*For other types of data, we will take care of the remaining data. Please allow a few days for processing before the data is integrated. You will be notified by email when this is complete.

6. Integrate the data 🎉

Once all matches have been validated, click on Integrate data. The data will then be integrated into the corresponding questionnaire without delay.


How do I edit/delete my imported data?


Made a mistake during import? Don't panic, you have three options:
  1. Update the file: you can update the spreadsheet and import it again by selecting the ‘overwrite existing’ option.
  2. Delete the import and start again.
  3. Edit the data directly in the questionnaire.


What should I do if my file is rejected during import?

If your file is rejected during import, here are a few tips:

  • Pay attention to the detailed report: it tells you what might be causing problems with your import and gives you tips.
  • Make sure that the file is a template downloaded from Carbo: we cannot process your internal files.
  • Check that you have selected the correct type of data to import from the drop-down menu. 
  • Be careful not to modify the Carbo spreadsheet template: if you add columns or change the names of some of them, Carbo will not recognise the file and will not be able to process it.
